Valuation Report Request Letter (Template)

A short, firm request asking your adjuster to send the full written market valuation report — the document (CCC ONE, Mitchell WorkCenter, or Audatex Autosource) that lists the comparable vehicles and per-line adjustments behind your total-loss offer. You need this report before you can evaluate or counter the offer.

When to use this template

Use as soon as the insurer makes a total-loss offer but hasn't sent (or you can't find) the underlying written valuation report. You're entitled to the report the offer is based on; this is the polite, paper-trail-starting first ask.

Rather skip the DIY route?

The interactive form below is the same playbook we run for clients — given away free. If you'd rather we just do it (counter-valuation, letters, negotiation), our service is $199 for the valuation report plus $149/hour for research and negotiation, capped at 2 hours. Our clients average $3,260 in additional settlement value, and we only proceed when we believe we can secure at least $1,000 more — no charge upfront, and if we agree to be your appraiser and can't deliver that minimum, you pay nothing.

Have us do it

What this involves, honestly

Most carriers will send the written valuation report on request — they're required to substantiate the offer. Getting it in hand is the prerequisite for every next step (auditing options, checking comparables, building a counter). This email starts that paper trail.

Subject: Request for written valuation report — Claim [CLAIM NUMBER] — [YEAR / MAKE / MODEL]

[ADJUSTER NAME],

I am writing regarding the total-loss settlement on the above claim. Before I
can review the offer your office extended, I need the complete written market
valuation report the offer is based on.

Please send me, in writing:

  1. The full valuation report (CCC ONE, Mitchell WorkCenter, or Audatex
Autosource) used to calculate the actual cash value of my vehicle.
  2. The list of comparable vehicles relied upon, including each comparable's
year, make, model, trim, mileage, listing/sale price, and the dealer or
     source.
  3. An itemization of every adjustment applied to those comparables
(condition, mileage, options, and any "typical negotiation" or
     "projected sold adjustment" deductions).

I am entitled to review the documentation supporting the valuation of my
vehicle, and I want to make sure the report accurately reflects my vehicle's
year, make, model, trim, factory options, mileage, and condition.

Please provide the report within seven (7) business days. You can email it to
[YOUR EMAIL] or call me at [YOUR PHONE] if you need anything from me.

Thank you,
